Organize a Preconference

Organizing a preconference can seem overwhelming, especially to a first-time organizer. However, all you have to do is select the program and SPSP staff will take care of the rest (catering, a/v, registration, etc). 

Hosting a Preconference

SPSP accepts applications to host a preconference each year in May. Those interested in hosting a preconference must provide general information about their preconference in an application for review by the convention committee.

Organizers are strongly encouraged to fill out the entirety of the application. Since preconferences are limited by the amount of space available, the information submitted in the application will be used to evaluate which preconferences are selected and which are not if space does not exist for all applications submitted.

Logistics

After submission and acceptance of your preconference, SPSP staff will do the following:  

  • Place your preconference in a room size based on your previous attendance. New preconferences will be placed in rooms as space permits.
  • Ensure that each preconference receives the appropriate setup, AV, and food and beverage selections to optimize the experience for all preconference attendees.  
  • Provide access to double sided poster boards, if requested in your application.
  • Handle registration that is seamlessly integrated with the SPSP Annual Convention Registration. Attendees that register for convention as well as a preconference will receive $25 off their preconference registration rate.

Organizers must commit to the following:

  • Providing content for preconference website by August 1
  • Submitting names of comped speakers by October 1
  • Having all content (including posters) accepted by December 6
  • Providing a full schedule for your preconference no later than February 1
  • Adhering to all onsite requests, including ending all preconference by 4:30 pm, checking names of attendees that enter the room, and adhering to poster/catering times
